AllmedEMS Medical Transport Operations Platform

How a medical transport operation moved from fragmented workflows to a centralized dispatch and reporting platform.

Client / context

AllmedEMS

A PHP/MySQL operations platform for medical transport teams covering trip intake, live dispatch, driver workflows, fleet inspections, PCR reporting, recurring trips, billing and SmartFax.

Client view

The business problem behind the build

AllmedEMS needed a single operational system for dispatchers, drivers, administrators and back-office users. The platform brings together trips, assignments, facilities, fleet records, recurring trips, reports, billing and compliance-heavy documents.

Challenges

  • Trips, recurring schedules, fleet activity and documents were difficult to manage from disconnected tools.
  • Dispatchers needed better visibility into vehicles, crews, pickup/dropoff status and daily workload.
  • PCR and wheelchair PCR reporting required structured data capture, PDF generation and reminder workflows.
  • Incoming fax, facesheet and transport documents needed a path into the operational workflow.

Goals

  • Create one source of truth for medical transport operations.
  • Support dispatch boards, driver workflows, recurring trips and vehicle inspection records.
  • Generate operational PDFs and PCR reports without slowing field teams down.
  • Prepare the system for AI-assisted document extraction and smarter operational alerts.

Outcomes

What changed once the system fit the workflow

The goal of each engagement is practical operational improvement: fewer manual handoffs, clearer visibility and a stronger platform for future work.

Centralized trip intake, dispatch, fleet, PCR, training, billing and reporting modules.

Improved dispatcher visibility with assignment queues, status history, regions and ETA/routing support.

Added SmartFax, email-to-fax, incoming fax handling and AI-assisted extraction workflows.

Created a stronger foundation for reminders, recurring trip generation and future broker/API integrations.

The platform gives operations a live picture of trips, vehicles and documents instead of forcing the team to chase information manually.
